Booking & Refund Policy
Last updated: 31 July 2026 · Effective immediately for all visitors and clients of Marigold & Vine Events.
This policy explains what happens to money already paid if a booking changes. It forms part of our Terms & Conditions and applies to every signed engagement with Marigold & Vine Events.
1. Confirming a booking
A date is held only when the countersigned proposal is returned and the 35% retainer has cleared. Until then, the date remains available to other enquiries. We will always tell you if another client is asking about the same date.
2. Payment schedule
| Stage | Amount | Timing |
|---|---|---|
| Retainer | 35% of the planning fee | On signature; confirms the date |
| Second payment | 35% of the planning fee | Midpoint of the planning timeline |
| Final payment | 30% of the planning fee | 14 calendar days before the event |
3. Cancellation by the client
| Notice given before the event | Refund of planning fees paid |
|---|---|
| More than 180 days | All payments refunded except the retainer |
| 90–180 days | 50% of payments made beyond the retainer |
| 30–89 days | 25% of payments made beyond the retainer |
| Fewer than 30 days | No refund of planning fees; work is substantially complete by this stage |
The retainer is non-refundable in all cases because the date is removed from our calendar at the moment of booking. Cancellations must be sent in writing to legal@events.sriluxmitulasi.com and are effective on the date we acknowledge receipt.
4. Third-party vendor payments
Money paid to venues, caterers, rental houses and other vendors is governed by their own contracts with you, not by this policy. We will assist you in requesting refunds from vendors, but we cannot guarantee their outcome and we hold none of those funds.
5. Rescheduling
One date change is permitted at no additional planning fee, provided the new date falls within twelve months of the original and our calendar is open. Payments already made transfer in full to the new date. Second and subsequent changes are charged at 15% of the planning fee to cover re-planning work.
6. Force majeure
If an event cannot proceed because of circumstances beyond either party’s control — wildfire, earthquake, severe weather, government order or public health restriction — we will first offer to reschedule at no additional planning fee within twelve months. If rescheduling is impossible, unearned fees for work not yet performed are refunded.
7. Cancellation by us
In the rare case that we must withdraw from an engagement — for example serious illness or an unavoidable conflict — we will refund all fees for work not yet performed and, where possible, introduce you to two vetted planners of comparable standing in Orange County.
8. Refund processing
Approved refunds are issued to the original payment method within ten business days of written confirmation. Card refunds may take a further five to ten days to appear depending on your issuing bank. All refunds are made in US dollars.
9. Complaints
If something has gone wrong, write to legal@events.sriluxmitulasi.com with “Complaint” in the subject line. We acknowledge within two business days, investigate, and provide a written response within fifteen business days. Unresolved disputes are handled under the governing law clause in our Terms & Conditions.
